This is a non-supervisory position. Duties include requisitions and orders merchandise, supplies, and equipment; Works with vendors to obtain product quotes; Prepares and reviews bids and orders to verify accuracy, terminology, and specifications; Reviews and tabulates bids to determine lowest and best bids; Prepares, reviews, and tracks requisitions and purchase orders; Receiving and distributing purchases; Audits invoices and checks for accuracy, receipt of material, and compliance with purchase orders; Performing computerized and hard copy records management functions; Maintaining fixed asset inventory records; Conducts annual physical inventory; Processing and logging incoming/outgoing mail and maintaining postage meter; Preparing monthly reports for accounting, including postage meter and copy machine usage; Ensures copiers are stocked; Coordinating copying of keys; Facilitates the issuance, troubleshooting, account billing review process, warranty and termination service requirements as it relates to AACOG mobile device needs. Supports the Intergovernmental Service Agreement (IGSA) process that ensures utilization of the IGSA vendor database; Assists with Procurement process by identifying and soliciting quotes for services as needed; Supports point of contact for the mail process, building maintenance issues, monthly document removal, and inter-office moves; Assists with the management of surplus equipment and material, removal of excess packing materials, oversight of key(s) distribution and the agency fax retrieval system; Assists with ordering supplies; Coordinates movement of, and performs minor maintenance, repairs and relocation of miscellaneous equipment and furniture; Serves as receptionist backup as needed; Assists with picking up and dropping off agency vehicles, and assists in the coordination of preventive and routine maintenance of vehicles; Transfers purchase orders in accounting system; Maintains vendor packets and bidders list; Enters orders for department in Procurement system: Assists with Request for Proposals – RFP’s, RFQ’s, RFI’s, etc.; Performs other job related duties as assigned.
Desired Degree and Experience: Associates Degree with two (2) years of relevant experience; High School diploma/GED and three (3) years of relevant experience; or any equivalent combination of experience and training which provides the required knowledge, skill, and abilities to sufficiently perform the duties of this position; Proficient in Microsoft Software (Word, Excel, and PowerPoint). This position is a Pay Grade 8, with a starting hourly rate of $16.04. Open until filled. Only electronic online applications will be accepted.
